Printable I-9 and W-4 Forms

The Immigration Reform and Control Act of 1986 requires every employer to verify newly hired employees to have valid documentation of the employee’s identity and legal authorization to work in the United States. Since the act was passed, every employee regardless of the status must complete an I-9 document.

Although it isn’t required to be completed right away, it must be done within three days of employees starting their work life. All the documents related to the I-9 form and the instructions can be found in the United States Citizenship and Immigration Services (USCIS) website.

The three page I-9 Form can be reached, downloaded, and printed from here. The newly hired employees must complete the first page and the second page must be completed by the employer.

The form has 2 parts on the first page. The employee information and attestation must be completed by the employee himself/herself. On the bottom of the I-9 Form, the preparer or the translator must sign and provide their information if a translator is used in the process. If not, just check the box that says I did not use a preparer or translator.

Printable W-4 Form

W-4 Form, on the other hand, is used by the IRS where every employee must complete. Since the IRS requires everyone to pay their taxes gradually throughout the year, it is used to determine the employee’s withholding allowance.

It has nothing to the with the Form I-9. So it must be filed separately regardless of the employee’s status to work in the United States. Also, keep in mind that changes to the marital status of an employee and changes to their salary require a new W-4 Form but it will remain active as long as a new IRS Form W-4 is filed.
